A little preparation goes a long way. Here are practical tips for patients and caregivers to make any NEMT ride as smooth, safe, and stress-free as possible.
Making Your Medical Transportation Experience Smooth
Whether it is your first non-emergency medical transportation (NEMT) ride or your hundredth, being well-prepared makes a big difference for both patient and driver. These practical tips will help you get the most out of your AVIVA MedTrans experience across Miami-Dade, Broward, and Palm Beach counties.
Before the Ride: Preparation Checklist
Confirm Your Booking
Double-check your booking confirmation — verify the pickup address, time, date, and type of service. If anything has changed (new appointment time, different location), call (844) 201-0110 as soon as possible so we can update your reservation. You can also book or modify your ride online at any time.
Prepare Your Documents
Bring any relevant documents with you:
- Photo ID
- Insurance card (Medicaid, Medicare, private insurance)
- Doctor referral or appointment confirmation
- List of current medications
Pack What You Need
- Any medications you will need during or after the appointment
- Medical equipment (portable oxygen, CPAP machine if needed)
- A light snack and water bottle for longer trips
- A phone or contact number for a family member
- Comfortable clothing that is easy to put on and remove if required for the appointment
Prepare Your Home for Pickup
- Make sure the path from your door to the vehicle is clear — no obstacles or loose rugs
- If you use a wheelchair, confirm it is charged or in good working condition — our wheelchair-accessible vehicles are equipped with ramps and tie-downs
- If there are stairs, let us know in advance so we send the appropriate crew
- If you require stretcher transport, ensure our driver has clear access — learn more about our stretcher transportation service
On the Day of the Ride
Be Ready 10–15 Minutes Early
Drivers have multiple appointments to keep. Being ready on time helps ensure you make your appointment and that other patients are not delayed. If you need extra time to get ready, factor that into your morning routine.
Communicate Your Needs to the Driver
Your driver is trained in patient assistance — do not hesitate to:
- Ask for help boarding or securing your wheelchair
- Request a slower or smoother route if you are in pain or discomfort
- Let the driver know about any medical equipment you are bringing
Stay Comfortable During the Ride
Our vehicles are climate-controlled and designed for patient comfort. If the temperature is not comfortable or you need to stop, please let your driver know. Safety and comfort are our top priorities.
After Your Appointment: Return Trip
If you booked a round trip, your driver will pick you up at the agreed return time. If your appointment runs long, call (844) 201-0110 immediately so we can adjust. Do not wait until the last minute — earlier notice means a smoother pickup.
Tips for Caregivers and Family Members
- If you are riding along, let us know when booking — we will ensure there is space
- Make sure the patient has a phone (or yours) in case of any communication needs
- Have the AVIVA MedTrans number saved: (844) 201-0110
- For recurring appointments, coordinate directly with us to set up a recurring schedule
